Overview

The Compliance Log gives Admins, Owners, and Managers a single, unified view of compliance status across the organisation. Rather than piecing together information from the Task Log and individual certificates, you can see all compliance-relevant content (task cycles, certificate status, renewal dates, and completion rates) in one dedicated place.

Learners can also view their own compliance status through My Compliance Log, available as part of this beta release.


Getting started: your first visit

When you open the Compliance Log for the first time, you'll see an introduction explaining what it does and how it works before any data is shown.

From there, you're guided to tag your compliance content in one go. This is the most important first step — nothing will appear in the log until content is flagged.

There are three ways to mark content as compliance:

  1. Bulk tagging from the Compliance Log (recommended on first launch) — use the built-in table to find and flag your content all at once. Filter by content type, search by name, then click Mark next to each item. This is the quickest way to get set up.

  2. From content settings — open any Item, Learnlist, or Channel, go to its Settings, and switch on the Is Compliance toggle. Useful for updating individual pieces of content at any time.

  3. When creating new content — as you add a new Item, Learnlist, or Channel, you can tick the Is Compliance checkbox during the creation flow so it's tracked from the moment it goes live.

Note: Only Admins can flag content as compliance.


Accessing the Compliance Log

  1. Log in as an Admin, Owner, or Manager.

  2. Navigate to the Compliance Log section in the main menu.

  3. Select the view you need from the available tabs.

The views available to you will depend on your role (see the Roles and permissions section below).


Content Compliance view

The Content Compliance view lets you track compliance status organised by content entity, for example "Health and Safety Fundamentals" or "GDPR Awareness".

What it shows:

  • A summary row for each piece of flagged compliance content

  • Overall completion rates for each content item

  • Drill-down detail for individual completions within that content

How to use it:

  1. Select the Content Compliance tab within the Compliance Log.

  2. Browse the list of flagged compliance content.

  3. Click a content row to expand it and view individual completion details, including who has completed it and when.


Individual Compliance (By Person view)

The Individual Compliance tab provides a person-by-person breakdown of compliance status. Available to Admins, Owners, and Managers.

What the table shows

Each row includes:

  • Person name and role

  • Compliance status

  • Content name

  • Task cycle information

  • Certificate details

  • Key dates (completion date, renewal date, deadline)

Drilling down into task cycle detail

Click any row to expand it and view:

  • Cycle name: the name of the assigned task cycle

  • Set for: who the cycle was assigned to

  • Set by: who created the assignment

  • Deadline: the due date for completion

  • Recurrence: whether the cycle repeats and how often

  • Completion counts: how many people have completed versus total assigned

  • Completion rate: the percentage completion for that cycle

Filtering the view

Quick filters — filter by team, content type, or certificate status using the filter bar above the table.

Advanced filter builder — build condition-based queries using Where and And logic across content, people, compliance, and date properties. For example: "Where content type is Course AND compliance status is Overdue AND team is Sales".

Selecting, exporting, and customising columns

  • Batch selection: tick the checkbox on one or more rows to select them for bulk actions

  • Column picker: show or hide columns based on what's relevant to your use case

  • Export: export the current view to CSV or XLSX


By Record view

An alternative view of compliance data organised by compliance record rather than by person. Useful for auditing specific task cycles or certificate records.

Select the By Record tab within the Compliance Log to switch to this view.


My Compliance Log (Learner view)

Available to all Learners as part of this beta release. Gives individuals visibility of their own compliance status.

Learners can:

  • See which of their assigned content is flagged as compliance

  • Check their current compliance status for each item

  • View upcoming renewal dates and deadlines

Learners can only see their own records, not those of other people in the organisation.

Notes and limitations

  • Only flagged content appears. Content must have Is Compliance switched on before it will appear in any Compliance Log view.

  • The Certificate Log is separate. The Certificate Log is a standalone feature showing all certificates regardless of compliance status. The two features serve different purposes and are not interchangeable.

  • Managers see a scoped view. Managers can access the Individual Compliance tab, but their view is limited to the people they manage.

  • Some features still in development. Certain filters and pagination options are still being finalised and will be released during the beta period.
