Creating a Group
Overview
Creating a Group in Learn Amp allows you to dynamically segment users based on specific criteria. Once created, Groups automatically update their membership as users meet or no longer meet your defined filters.
This article walks you through the steps to create a new Group and provides tips for effective Group setup.
Functionality Breakdown
When you create a Group, you define:
Name: A clear identifier for the Group
Status: Whether the Group is Active (refreshing) or Inactive
Refresh frequency: How often the Group re-evaluates membership
Filters: The criteria that determine which users belong to the Group
Sub-Groups and Teams: Optionally include other Groups or Teams
Groups support sophisticated filtering using:
User properties (role, location, team, hire date, etc.)
Behavioural data (content completion, event attendance, etc.)
Logical operators (AND/OR) to combine conditions
Time-based operators (within last X days, before/after date, etc.)
Pre-requisites
To create a Group, you must:
Have the Groups feature enabled (requires Perform or Connect package)
Have one of the following roles: Owner, Admin, Learning Designer, or Curator
Quick Start Guide
Creating a Group from the Add New Menu
Step 1: Open the Group Builder
Click the + button in the top navigation bar
Under People, select Group
Step 2: Configure Basic Settings
Set the Group status to Active or Inactive using the toggle
Enter a clear, descriptive name for your Group
Select the refresh frequency (Hourly, Every 6 hours, Every 12 hours, Daily, Every 2 days, Every 3 days, or Weekly)
Tip: Choose the longest refresh interval that meets your needs—shorter intervals consume more of your Group refresh allowance.
Step 3: Define Filter Criteria
Click Add filter group to start building your criteria
Select the filter type (user property or behavioural)
Configure the filter conditions
Add additional filters as needed, using AND/OR operators
Step 4: Preview and Save
Click Apply filters to see how many users currently match
Optionally click Show matching people to review the user list
Click Save to create the Group
You'll see a confirmation message once the Group is created.
Creating a Group from the Groups Page
Go to Manage > People > Groups
Click Add new or the + button
Follow Steps 2-4 above
Including Sub-Groups and Teams
You can include other Groups or Teams as part of your Group's membership:
Adding Sub-Groups
In the Group builder, look for the Sub-Groups section
Search for and select existing Groups to include
Users in those Groups will be included in this Group
Note: There's a limit to the number of sub-Groups you can add to a single Group.
Adding Teams
In the Group builder, look for the Teams section
Search for and select one or more Teams
All members of those Teams will be included in the Group
Best Practices for Naming Groups
Clear naming makes Groups easier to find and manage:
Approach | Example | Why It Works |
|---|---|---|
Lead with the distinguishing feature | Marketing (London), Marketing (New York) | Easy to scan and differentiate |
Be specific about the criteria | Compliance Overdue - Q1 2025 | Clear purpose and timeframe |
Use consistent conventions | All Managers - EMEA, All Managers - APAC | Predictable and organised |
Avoid: Very long names or putting the location/qualifier first (e.g., "LONDON OFFICE - Marketing" is harder to scan than "Marketing (London)").
FAQs
Q: Can I edit a Group after creating it?
Yes! Click on any Group to open it, then use the edit (pencil) icon to modify the name, filters, or settings.
Q: What happens if I save a Group with no matching users?
The Group will be created but will have zero members. As users meet the criteria in the future, they'll be automatically added.
Q: Can I duplicate a Group?
Currently, you'll need to create a new Group and configure similar filters. Note down your existing filters before creating the new Group.
Q: How do I know if my filters are working correctly?
Use the Apply filters and Show matching people options before saving to preview the results.
Troubleshooting
Issue | Solution |
|---|---|
Group has fewer members than expected | Review your filter logic—users must match ALL conditions within a filter group. Check if you're using AND when you meant OR. |
Can't find the sub-Groups option | Ensure you've scrolled down in the Group builder—sub-Groups appear below the main filter section. |
Group not refreshing | Check the Group is set to Active. Inactive Groups don't refresh automatically. |
Hit the Group limit | Deactivate Groups you're not actively using, or extend refresh intervals on existing Groups. |
