Verifying Opportunity Completions

Verifying Opportunity Completions

Overview

When an opportunity requires verification by selected individuals, designated verifiers play a crucial role in confirming that learners have genuinely completed the activity. This verification process ensures quality and accountability in development tracking.

Verifiers receive email notifications when learners submit completions and can approve or reject them through a dedicated verification interface.

Functionality Breakdown

The Verification Workflow

  1. Learner marks as complete – The learner clicks "Mark as Complete" on an opportunity they've added to their profile

  2. Status changes to Pending – The opportunity moves to "Pending Completion" status

  3. Verifiers notified – All designated verifiers receive an email notification

  4. Verifier reviews – The verifier accesses the verification page to review

  5. Verification decision – The verifier approves (verifies) or the completion remains pending

  6. Status updated – Once verified, the opportunity shows as "Verified Completion"

The Verification Table

The verification page displays a table with:

Column

Description

Column

Description

Full Name

The learner who added the opportunity

Completed At

Date and time the learner marked as complete

Date and time of verification (if verified)

Status Badges

  • Added – Learner has added the opportunity but not marked it complete

  • Pending Completion – Awaiting verification

  • Verified Completion – Confirmed complete by a verifier

Email Notifications

When a learner marks an opportunity as complete:

  • All designated verifiers receive an email

  • The email includes the opportunity name and learner's name

  • A direct link to the verification page is provided

  • Verifiers can click through to review and approve

Pre-requisites

To verify opportunity completions, you must be either:

  • A designated Verifier for that specific opportunity, OR

  • An Owner or Admin (who can verify any opportunity)

Required User Roles for Verifiers

Any user can be designated as a verifier for specific opportunities. The ability to be assigned as a verifier is not role-dependent.

Required User Roles for Full Access

  • Owner – Can verify all opportunities

  • Admin – Can verify all opportunities

Quick Start Guide

Accessing Verifications from Email

  1. Open the verification notification email

  2. Click the Verify Completion link

  3. You'll be taken directly to the verification page for that opportunity

Accessing Verifications from the Platform

  1. Navigate to My Development in the sidebar

  2. Select Opportunities

  3. Click the Manage tab

  4. Find the opportunity you want to review

  5. Click the three-dot menu (⋯) and select Verifications

Verifying a Completion

  1. On the verification page, locate the learner in the table

  2. Check their "Completed At" date

  3. Review their status (should show "Pending Completion")

  4. Click the Verify button in the Actions column

  5. The status updates to "Verified Completion"

Unverifying a Completion

If verification was made in error:

  1. Locate the verified learner in the table

  2. Click the Unverify button

  3. The status returns to "Pending Completion"

  4. The learner will need to be re-verified

💡 Tip: Only unverify completions if there's a genuine reason. Learners are not automatically notified when unverified, but their status will change.

FAQs

Q: Do I receive notifications for every completion?
Yes. As a designated verifier, you'll receive an email each time a learner marks the opportunity as complete. If multiple verifiers are assigned, all receive the notification.

Q: Can multiple verifiers approve the same completion?
No. Once one verifier approves, the completion is verified. Other verifiers will see the already-verified status.

Q: What happens if I don't verify a completion?
The completion remains in "Pending" status indefinitely until verified. There are no automatic reminders, so check your verification queue regularly.

Q: Can learners see who verified their completion?
The system records who verified each completion, but this information is primarily available to administrators.

Q: Can I verify in bulk?
Currently, verifications must be done individually. Each learner's completion needs to be verified separately.

Q: What if I'm no longer a verifier for an opportunity?
If you're removed as a verifier, you'll no longer receive notifications or be able to verify new completions. Previously verified completions remain verified.

Troubleshooting

Issue

Solution

Issue

Solution

Not receiving verification emails

Check your spam folder. Ensure notifications are enabled in your account settings. Confirm you're listed as a verifier for the opportunity.

Can't find the Verifications option

Ensure you're either a designated verifier or have admin access. The option only appears for opportunities you can verify.

Verify button not working

Ensure the completion is in "Pending" status. Already verified completions show an "Unverify" button instead.

Learner not appearing in the table

The learner must have added the opportunity and marked it as complete. Check they've actually submitted a completion.

Can't unverify a completion

Only users with verification permissions can unverify. If you're a verifier, you should be able to unverify your own approvals.

Email link not working

The link may have expired or the opportunity may have been modified. Navigate to verifications through the platform instead.
