Overview

Learn Amp allows administrators to configure which user roles can create and manage opportunities within their organisation. This flexibility ensures the right people can contribute to your development catalogue while maintaining appropriate governance.

By default, only Owners and Admins can manage opportunities, but additional roles can be enabled through Company Settings.


Functionality Breakdown

Default Permissions

Out of the box, these roles can create and manage opportunities:

  • Owner – Full access (always enabled, cannot be disabled)

  • Admin – Full access (always enabled, cannot be disabled)

What "Manage Opportunities" Includes

Users with management permissions can:

  • Create new opportunities

  • Edit existing opportunities

  • Access the Manage view

  • Configure verification settings

  • Assign verifiers

Verifier Permissions

Important: Being a designated verifier is separate from management permissions.

  • Any user can be assigned as a verifier for specific opportunities

  • Verifiers can only verify completions for opportunities they're assigned to

  • Verifiers can access the Manage view, but only see their assigned opportunities

  • Verifier assignment is done per-opportunity, not through role settings


Pre-requisites

To configure opportunity permissions:

  • You must have Owner or Admin role

  • The Opportunities feature must be enabled for your organisation


Quick Start Guide

Accessing Permission Settings

  1. Click the Settings cog icon in the navigation

  2. Navigate to Assessments section

  3. Select Opportunities

Enabling Additional Roles

  1. In the Opportunities settings, you'll see a list of configurable roles

  2. Check the box next to each role you want to enable:

    • Learning Designer

    • Curator

    • Reporter

    • HR

    • Manager

    • Coach

  3. Click Save to apply your changes

Understanding the Settings Page

The settings page displays:

  • Always enabled roles – Owner and Admin (greyed out, cannot be changed)

  • Optional roles – Checkboxes for each additional role that can be enabled

💡 Tip: Consider your organisation's structure when enabling roles. Enabling Managers, for example, allows all users with the Manager role to create opportunities, which might suit organisations wanting distributed ownership of development activities.


Role Recommendations

Small Organisations

For smaller teams with centralised L&D:

  • Keep defaults (Owner and Admin only)

  • This maintains tight control over the opportunity catalogue

Medium Organisations

For growing organisations with L&D teams:

  • Enable Learning Designer and HR

  • This allows L&D professionals to contribute while maintaining oversight

Large or Distributed Organisations

For enterprises with distributed development:

  • Consider enabling Manager and Coach

  • This empowers local leaders to create relevant opportunities for their teams

  • May also enable Curator for content team members

⚠️ Warning: Enabling many roles increases the number of people who can create opportunities. Ensure you have clear guidelines for opportunity creation to maintain catalogue quality.


FAQs

Q: Can I disable the Owner or Admin roles?
No. Owner and Admin roles always have full opportunity management permissions. This ensures there's always someone who can manage the feature.

Q: If I enable Manager, do all managers get access?
Yes. Enabling a role grants permissions to all users with that role. There's no way to selectively enable individual users within a role.

Q: Do enabled roles automatically become verifiers?
No. Role permissions for management are separate from verifier assignments. Verifiers are assigned on a per-opportunity basis when creating or editing an opportunity.

Q: What happens if I disable a role after people have created opportunities?
Existing opportunities remain in place. However, users who lose management permissions will no longer be able to edit those opportunities or create new ones.

Q: Can users with enabled roles see all opportunities in the Manage view?
Yes. Users with management permissions see all opportunities in the Manage view, not just ones they created.

Q: What's the difference between management permissions and verification permissions?

  • Management permissions: Create, edit, and oversee all opportunities (role-based)

  • Verification permissions: Approve learner completions (assigned per-opportunity)

A user can be a verifier without having management permissions, and vice versa.

Can't find the Opportunities settings

Ensure you have Owner or Admin role. Navigate to Settings > Assessments > Opportunities.

Role checkbox is greyed out

Owner and Admin are always enabled and cannot be changed. Other roles should be editable.

User can't create opportunities after enabling their role

Ask them to log out and back in, or refresh their browser. Permission changes may require a fresh session.

Too many opportunities being created

Consider disabling some roles or establishing guidelines for when to create opportunities.

Changes not saving

Ensure you click the Save button after making changes. Check for any error messages on the page.

User has correct role but can't access

Verify the role is correctly assigned to the user in their profile. Check that the feature toggle for Opportunities is enabled.
