Quick Start Guide

Step 1: Start the Wizard

  1. From the sidebar, click Add New

  2. Select People, then Team

  3. The creation wizard opens

Step 2: Choose Type

  1. Select Community (not Standard Team)

  2. Click Next

💡 Tip: Communities have social features like the Feed. Standard Teams are for organisational hierarchy without social features.

Step 3: Configure Details

  1. Enter a Name for your community (required, max 150 characters)

  2. Add a Short description (max 150 characters) - appears on tiles and cards

  3. Add a Long description - appears on the Overview page, supports rich text

  4. Upload a Tile image (350 x 204 pixels recommended)

  5. Upload a Banner image (1200px wide, 4:1 aspect ratio recommended)

  6. Add Tags for filtering and search

  7. Click Next

💡 Tip: Choose a name that clearly describes the community's purpose. "Q4 Sales Onboarding Cohort" is better than "Sales Team".

Step 4: Set Privacy

Choose who can see and join your community:

  • Public - Open guilds, interest groups, knowledge-sharing communities

  • Private - Cohort programmes where you want visibility but controlled access

  • Secret - Confidential groups, sensitive topics, invitation-only cohorts

Click Next after selecting.

💡 Tip: Start with fewer tabs and add more later. Too many tabs can overwhelm new members.

Click Next after configuring.

Step 7: Assign Managers

  1. Primary Manager - Main person responsible for the community

  2. Secondary Managers - Additional managers with similar permissions

  3. Stand-in Manager (optional) - Temporary coverage when primary is away

Search for users by name or email and select them.

Click Next after assigning.

Step 8: Set Hierarchy (Optional)

Link your community to your organisational structure:

  1. Parent team - Select if this community belongs under another team

  2. Sub-teams - Select teams that should belong under this community

💡 Tip: Hierarchy is optional. Many communities work well as standalone groups.

Click Next after configuring (or skip).

Step 9: Add Members

  1. Search for users by name or email

  2. Select users to add as initial members

  3. You can add more members after creation

Click Create to finish.

After Creation

Once created, you can:

  • Edit settings - Click the edit icon on the community page

  • Add more members - Use the Members tab

  • Configure the Dashboard - Add widgets for community-specific data

  • Start posting - Create the first post in the Feed to welcome members

FAQs

Q: Can I change the privacy setting after creation?
Yes. Edit the community and change the privacy in the Privacy step. Note that changing from Secret to Public/Private will make the community visible to all users.

Q: Can I change the community type after creation?
Yes, but with limitations. You can switch between Standard and Community types, but some settings (like the Feed) are only available for Communities.

Q: What happens if I don't assign a manager?
The creator becomes the manager by default. Learning Designers are automatically assigned as manager when they create teams.

Q: Can I create a community without any members?
Yes. You can add members later via the Members tab, bulk import, or HRIS sync.

Q: How do I copy settings from an existing community?
Currently there's no clone feature. You'll need to create a new community and configure each setting. Consider using the Teams CSV import for bulk creation.

Q: Can learners create communities?
No. Only Owners and Admins (and HR/Learning Designers with overrides) can create communities.
