Linking Skills to Roles
Overview
Linking skills to roles creates a powerful connection between job expectations and development. When you associate skills with roles in Learn Amp, you define what competencies are needed for each position—and can even set required proficiency levels to establish clear benchmarks.
This enables automatic skill assignment when users are placed in roles, meaningful gap analysis comparing current skills to role requirements, and clearer career pathways showing what skills are needed for progression.
Functionality Breakdown
What Linking Skills to Roles Enables
Skill Requirements per Role
Associate any number of skills with each role
Set a required proficiency level for each skill (e.g., Level 3 out of 5)
Define clear expectations for what competency looks like in each position
Automatic Skill Assignment
When a user is assigned to a role (primary or target), the associated skills are automatically added to their profile
This ensures everyone in a role has the relevant skills tracked without manual setup
Gap Analysis
Users can compare their current skill levels against their role's requirements
The Skills Gap Analysis widget highlights where development is needed
Managers can identify training priorities based on team-wide gaps
Primary vs Target Roles
Primary role – The user's current position; skills are auto-assigned immediately
Target role – A future aspiration; helps users see what skills they need to develop for progression

Quick Start Guide
Accessing Role Management
Click your profile image in the top navigation bar
Select Company Settings
Navigate to Learning Taxonomy → Roles
Creating a Role with Associated Skills
Step 1: Create or Edit a Role
Click + Add Role to create a new role, or click an existing role to edit
Enter the role details:
Name – The job title or role name
Description – What the role involves
Key responsibilities – Main duties and expectations
Category – Optional grouping for organisation
Step 2: Add Associated Skills
In the role editor, find the Associated Skills section
Click + Add Skill
Search for and select skills from your library
For each skill, set the required proficiency level using the dropdown
Repeat for all skills relevant to this role
Step 3: Save the Role
Review your skill associations and required levels
Click Save
The role is now ready for assignment
💡 Tip: Start with 5-10 core skills per role. Too many skills can be overwhelming for users and dilute the focus of development conversations.
Assigning Users to Roles
Option 1: Individual Assignment
Navigate to People in the sidebar → Individuals
Click on a user's profile
In the user details, find the Role fields
Set their Primary role (current position) and/or Target role (aspiration)
Save changes
Option 2: Via HRIS Integration
If you sync job titles from your HRIS:
Go to Company Settings → People
Enable Use Job Title to control users' Roles
Ensure role names match job titles from your HRIS exactly
When job titles sync, roles (and their skills) are assigned automatically
Option 3: Bulk Import
Roles can be assigned via CSV import when updating user data in bulk.
Setting Required Skill Levels
When associating skills with roles, you can specify the expected proficiency:
For each skill on a role, click the level dropdown
Select the required level (e.g., Level 3 – Competent)
This level becomes the benchmark for gap analysis
⚠️ Warning: If you change required levels after users are assigned, their gap analysis will update accordingly. Communicate changes to affected users.
FAQs
Q: What happens when I assign a user to a role?
The skills associated with that role are automatically added to the user's profile. If the user already has those skills, nothing changes—existing ratings are preserved.
Q: Do users automatically get ratings when skills are auto-assigned?
No. Skills are added to the profile, but ratings must be set separately by the user (self-rating) or their manager.
Q: Can a user have multiple roles?
Users can have one primary role (their current position) and one target role (their career aspiration). Both can have associated skills.
Q: What's the difference between primary and target roles?
Primary role represents the user's current job—its skills are assigned as "what you need now". Target role represents where they want to go—its skills show "what you need to develop".
Q: Can I import roles with skills in bulk?
Yes. Use the Roles CSV import to create roles with associated skills. Include skill names and required levels in your import file.
Q: What if I remove a skill from a role?
Users who already have that skill keep it on their profile. Removing a skill from a role only affects future assignments and gap analysis.
Q: How do required levels work with gap analysis?
The Skills Gap Analysis compares the user's current rating against the required level. Skills where the user's rating is below the required level are highlighted as gaps.
Troubleshooting
Issue | Solution |
|---|---|
Skills not auto-assigning when role is set | Check that skills are correctly associated with the role in Company Settings → Learning Taxonomy → Roles. |
User's role not updating from HRIS | Ensure "Use Job Title to control users' Roles" is enabled and the role name matches the job title exactly. |
Gap analysis not showing required levels | Verify that required levels have been set for each skill on the role. Skills without levels won't show gap comparisons. |
Can't find the Roles section | Navigate to Company Settings → Learning Taxonomy → Roles. Ensure you have Owner or Admin role. |
Skills from old role still on profile | Auto-assigned skills persist when roles change. Users or admins can manually remove outdated skills if needed. |
Required level dropdown not appearing | Ensure your skills rating framework is configured with levels. Check Company Settings → Learning Taxonomy → Skills. |
