Widget Filters and Data Scoping
Overview
Many widgets in Learn Amp support powerful filtering options that control which users' data is displayed. Whether you want to show company-wide metrics, focus on specific teams, or highlight individual performance, widget filters give you precise control over what appears on each Dashboard.
Understanding these filters means you can build Dashboards that show exactly the right data to each audience—from company-wide overviews for executives to team-specific views for managers.
Functionality Breakdown
User Scope Filters
Most widgets that show user-related data support three scope options:

Entity Types
When using Selected or Excluded filters, you choose what type of entity to filter by:

Team Filtering Options
When filtering by team, you have additional options:

Direct team only | When disabled, only includes users directly in the selected teams |
💡 Tip: For large organisations with complex team hierarchies, "Include sub-teams" can significantly change the data shown. Test with both settings to find the right scope.
Content Filters
Some widgets also support content-specific filters:
Activity Type Filters
Widgets tracking user activity (like Most Completed Content) can filter by activity type:

Excluding Tasked Completions
The Most Completed Content widget offers an additional filter to help you distinguish self-directed learning from compliance-driven activity.
When the widget's activity type is set to Completed, a checkbox labelled Exclude tasked completions appears in the widget configuration. When ticked, the widget counts only completions that were not driven by a task assignment — including items completed as part of a tasked channel or Learnlist — giving you a clearer picture of organic, self-motivated learning across your organisation.

When the exclusion is active, a pill reading Excluding tasked appears above the widget data so viewers know the filter is in effect.
⚠️ Important: The Exclude tasked completions checkbox is only available when the widget verb is set to Completed. If you change the verb to Started, Clicked, or Viewed, the checkbox is automatically hidden and reset.
When to use this filter:
You want to understand what content learners are choosing to complete on their own initiative
You're reporting on engagement and discovery, rather than compliance completion rates
You want to separate voluntary learning activity from mandatory task completions in your Dashboard view
💡 Tip: Use this filter alongside a standard Most Completed Content widget (without the exclusion) to compare total completions against organic completions side by side on the same Dashboard.
Time Range Filters
Most data widgets support time-based filtering:

Pre-requisites
To configure widget filters:
You must have edit access to the Dashboard
Advanced Groupings must be enabled to filter by groupings
Specific features must be enabled for certain content type filters

Quick Start Guide
Setting Up a Team-Filtered Widget
Edit your Dashboard and click Add Widget or edit an existing widget
Choose a widget that supports user filters (look for the filter options in the widget settings)
Under Filter by, select Selected users
Choose Team as the entity type
Search for and select the teams you want to include
Optionally enable Include sub-teams for hierarchical team structures
Save the widget
Creating a Company-Wide vs Team Comparison
To show the same metric for different scopes:
Add the same widget type twice to your Dashboard
Configure the first widget with All users scope
Configure the second widget with Selected users > Team scope
Name them clearly (e.g., "Company Completions" and "Marketing Team Completions")
Filtering by Content Characteristics
Add a content-based widget (like Most Popular Content)
Look for the Filter by or Characteristics options
Select the characteristic type (tags, item types, or suppliers)
Enter or select the specific values to filter by
Save your changes
Excluding Tasked Completions from Most Completed Content
From the sidebar, select Dashboard
Click Add Widget or edit an existing Most Completed Content widget
Under the Learn category, select Most Completed Content
Set the Verb to Completed
Tick the Exclude tasked completions checkbox
Configure any other filters (date range, user scope, content type) as needed
Save the widget
Manager Dashboard Filters
Manager Dashboards have special filtering behaviour:

💡 Tip: On Manager Dashboards, "All users" still respects the manager's scope—they won't see data for users they don't manage.
FAQs
Q: Why can't I see the Grouping option in entity types?
Advanced Groupings must be enabled for your organisation. Contact your administrator to enable this feature.
Q: Does "Include sub-teams" affect performance?
For very large team hierarchies, including sub-teams may slightly increase widget loading time as more user data is aggregated.
Q: Can I filter by multiple teams at once?
Yes. When selecting teams, you can choose multiple teams and all their members will be included in the widget data.
Q: What happens if I select a team with no members?
The widget will show no data or display an appropriate empty state message.
Q: Can learners configure widget filters?
No. Widget filter configuration is only available to those who can edit Dashboards. Learners see the pre-configured filters set by administrators.
Q: Do time range filters use the user's timezone?
Time ranges are calculated based on the company's configured timezone.
Q: Why has the Exclude tasked completions checkbox disappeared?
The checkbox is only visible when the Most Completed Content widget's verb is set to Completed. If you changed the verb to Started, Clicked, or Viewed, the checkbox will be hidden. Switch the verb back to Completed to restore it.
Q: Does the "Excluding tasked" pill affect what learners see?
No. The pill is a visual indicator for anyone viewing the widget that the tasked completions filter is active. It does not change the learner experience in any other way.
