💡 Tip: @here and @team mentions use the same notification delivery as individual @mentions — each active member receives both an in-app notification and an email.

  • Membership in the community (for post/comment notifications)

  • Manager role for the community (for join request notifications)

Quick Start Guide

Configuring Email Notifications

Users can control which email notifications they receive:

  1. Click your profile picture in the top right

  2. Select Settings

  3. Navigate to Notifications or Email preferences

  4. Find the Mention toggle to enable/disable @mention emails (this applies to individual, @team, and @here mentions)

  5. Find Team activity digest to set the frequency (daily, weekly, monthly, or never)

  6. Save your changes

💡 Tip: Even with email notifications disabled, you'll still receive in-app notifications.

Understanding In-App Notifications

In-app notifications appear in the notification bell in the top navigation:

  1. Click the bell icon to view recent notifications

  2. Notifications are marked with a red dot when unread

  3. Click a notification to go directly to the relevant content

  4. When you have a lot of notifications, they're grouped by type to keep things manageable

Viewing Team Reports

Managers can access detailed reports about their team's activity:

To access Team Activity Report:

  1. Navigate to Reports, then Activity

  2. Select Team from the segment dropdown

  3. Choose your Community from the team selector

  4. Use filters to narrow down by date range, content type, or user

To access Team People Report:

  1. Navigate to Reports, then People

  2. Select Team from the segment dropdown

  3. Choose your Community from the team selector

  4. View completion rates, progress, and engagement metrics

To access Team Content Report:

  1. Navigate to Reports, then Content

  2. Select Team from the segment dropdown

  3. Choose your Community from the team selector

  4. See which content is being consumed by community members

When viewing team reports, you have several options:

💡 Tip: Use the "Include sub-teams" option when you want to see aggregated data across an entire department or programme.


Team Activity Digest

The Team Activity Digest is a scheduled email that summarises activity across your managed teams.

What's Included

The digest includes:

  • Number of active users

  • Content completions

  • Tasks completed

  • New learning activity

  • Engagement metrics

Setting Your Digest Frequency

  1. Go to your Email preferences in Settings

  2. Find Team activity digest

  3. Choose your preferred frequency:

    • Daily - Receive a summary every day

    • Weekly - Receive a summary every week

    • Monthly - Receive a summary once per month

    • Never - Disable the digest entirely

  4. Save your changes

⚠️ Warning: The digest is only sent to users who manage at least one team. If you're not a manager, this setting won't apply.


Content Visibility to Communities

Content can be targeted specifically to communities, making it visible only to members.

How Content Targeting Works

When creating or editing content (Channels, Learnlists, etc.), you can set visibility to Selected teams:

  1. Edit the content item

  2. In the Visibility section, choose Selected

  3. Search for and select the communities that should see this content

  4. Optionally enable Visible to sub-teams to include nested communities

💡 Tip: Use "Visible to sub-teams" when you want content to cascade down through a hierarchy—for example, making training visible to a department and all its sub-departments.


FAQs

Q: Why am I not receiving email notifications for comments?
Check your email preferences in Settings. The "Mention" setting controls whether you receive @mention emails. Also verify your email address is correct and check your spam folder.

Q: Does the Mention toggle in Settings apply to @team and @here notifications too?
Yes. The Mention notification toggle controls all mention types — individual @mentions, @team mentions, and @here mentions. Disabling it will turn off emails for all three.

Q: Can I disable notifications for a specific community?
Not yet — notification settings apply globally, so it's not currently possible to disable them for one community while keeping them active for others.

Q: How often are digest emails sent?
Digest emails are sent based on your preference: daily (typically early morning), weekly (usually Monday morning), or monthly (start of each month).

Q: Who can access team reports?
Team reports are available to Owners, Admins, HR users with team override permissions, and managers of the specific team.

Q: Can I schedule reports to be emailed automatically?
Yes. When viewing a report, use the "Save" or "Schedule" option to create a recurring report that's emailed to specified recipients.

Q: What's the difference between Activity, People, and Content reports?

  • Activity reports show engagement metrics (logins, time spent, actions taken)

  • People reports focus on user progress and completion rates

  • Content reports analyse which content is being consumed and how

Q: Can I export report data?
Yes. Most reports include a CSV export option that downloads the data for use in spreadsheets or other tools.

Not receiving comment notifications

Verify you authored the post. Only post authors receive comment notifications.

@Mention notification not appearing

Ensure you typed @ directly followed by the name. Check you're a member of the community.

@team mention — some members not notified

Only active members of the team receive notifications. Inactive or suspended users are excluded.

@here not sending notifications to all members

@here notifies active Community members only. Check that the affected users are active members of the Community.

Team Activity Digest not arriving

Check that you manage at least one team and that you haven't set the digest frequency to "never".

Can't access team reports

Check that you have an Owner, Admin, HR, or Manager role — only these roles can access team reports. HR users may need the team policy override enabled.

Report showing no data

Check the date range and team selection. Ensure the community has active members.

Export not downloading

Try a different browser or check your download settings. Large exports may take longer.
