Enrolment Permissions
Overview
Enrolment Permissions control who can enrol learners into event sessions, and who can approve self-enrolment applications. Rather than limiting these actions to admins only, you can extend them to managers, learning designers and curators.
Functionality Breakdown
Two types of permission
Permission | What it controls |
|---|---|
Who can enrol users onto an Event Session? | Which roles can enrol learners into sessions |
Who can approve learner self-enrolment applications? | Which roles can approve or reject enrolment applications |
These are the exact labels shown on screen.
Available roles
Role | Notes |
|---|---|
Admins, Owners and Event Creator | Always included and cannot be removed. This single option covers admins, the account owner and whoever created the event |
Managers | Can enrol, and see approval requests for, all members of the teams they manage, plus any user who has them set as their override manager |
Learning Designers | Content creators with event management access |
Curators | Content curators with event management access. Curators also need the task policy override on their account. Without it, ticking Curators has no effect and no error is shown |
On the approval permission the equivalent always-included option is labelled simply Admins.
Where these settings are configured
This is the part most often misunderstood, so it is worth reading before you change anything.
Who can enrol users can be set in two places:
At event level, on the event's review settings. Saving here applies the setting to every session in the event at once. Any session you add to the event afterwards starts with the same setting
On an individual session, which overrides that one session without affecting the others
Who can approve learner self-enrolment applications can only be set on an individual session. There is no event-level option for it, so it must be set on each session separately.
Pre-requisites
Events must be enabled for your company
To use approval permissions, the session's Allow self-enrolment? setting must be Yes, with approval required
Who can configure these settings
Event creator, Admin, Owner, Curator, Learning Designer, and Hosts for their own sessions.
Quick Start Guide
Setting who can enrol users, for one session
Open the event
Edit the session you want to change
Click Click here to customise the enrolment settings for this session only. The Enrolment section is collapsed by default and will not appear until you do this
Under Who can enrol users onto an Event Session?, tick the roles you want
Click Save
Setting who can enrol users, for every session at once
Open the event
Go to the event's review settings and expand the enrolment card
Under Who can enrol users onto an Event Session?, tick the roles you want
Save
This applies immediately to every session in the event, and to any session added later.
Setting who can approve self-enrolment applications
Open the event and edit the session
Click Click here to customise the enrolment settings for this session only
Set Allow self-enrolment? to Yes, with approval required. The approval options only appear once you have done this
Under Who can approve learner self-enrolment applications?, tick the roles you want
Click Save
Repeat for each session, as this setting has no event-level option.
Testing manager permissions
Tick Managers on the session
Sign in as a manager
Open the event
Confirm the manager can enrol members of the teams they manage
Confirm the manager cannot enrol users outside those teams
FAQs
Can I remove the admin permission entirely?
No. Admins, Owners and Event Creator is always included and the option cannot be unticked.
If managers can enrol users, can they enrol anyone?
No. A manager can enrol members of the teams they manage, and any user who has them set as their override manager. They cannot enrol anyone else.
Do these permissions apply to all sessions in an event?
Who can enrol users onto an Event Session? does. Saving it at event level applies it to every session immediately, and new sessions inherit it. You can then override it on an individual session. Who can approve learner self-enrolment applications? is the exception and must be set on each session separately.
What happens if a manager tries to approve someone outside the teams they manage?
They will not see the application at all. Only approvers with access to that learner see it.
Can I grant different permissions for enrolling and approving?
Yes. They are separate settings. You could allow managers to enrol while restricting approval to admins.
Are these permissions inherited from company settings?
There is no company-level version of these settings. They do, however, carry from event level down to every session in that event, as described above.
Why has ticking Curators made no difference?
Curators also need the task policy override on their account. Without it the setting has no effect. Contact Learn Amp Support if you are unsure whether your curators have it.
Troubleshooting
Issue | What to check |
|---|---|
Manager cannot see the enrol option | Confirm Managers is ticked under Who can enrol users onto an Event Session? on that session. Then confirm the learner is a member of a team the manager manages, or has the manager set as their override manager |
I cannot find the Enrolment section when editing a session | It is collapsed by default. Click Click here to customise the enrolment settings for this session only to expand it |
I cannot find the approval options | They only appear once Allow self-enrolment? is set to Yes, with approval required |
Ticking Curators changes nothing | Curators also need the task policy override on their account. Contact Learn Amp Support to check |
Learning designer cannot enrol users | Confirm Learning Designers is ticked on that session |
A change on one session affected others | Check whether the change was saved at event level rather than on the session. Event level applies to every session at once |
Permissions are not saving | Refresh the page and try again, making sure you clicked Save |
