Overview

Recurring events save time when you need to run the same training or meeting on a regular schedule. Instead of manually creating each session, Learn Amp automatically generates new sessions based on your recurrence settings.

This is ideal for:

  • Weekly team meetings

  • Monthly compliance training

  • Quarterly reviews

  • Regular onboarding sessions


Pre-requisites

Before setting up recurring events:

  • The Events feature must be enabled for your company

  • You need appropriate permissions to create and edit Events

  • The parent Event must be published (not in draft)

Quick Start Guide

  1. Navigate to Manage β†’ Events in the sidebar

  2. Create a new Event or edit an existing one

  3. Add a session with date and time

  4. Toggle Recurs to enable recurrence

  5. Set your frequency (days, weeks, or months)

  6. Configure the "Reopen before" days

  7. Save your session


Understanding Recurrence Settings

When you enable recurrence on a session, Learn Amp automatically creates a new child session at the specified interval.

Available Recurrence Options

Here are the recurrence options available:

  • Every [Day] – Event repeats each week on that day (e.g., every Thursday)

  • [Day] every two weeks – Event repeats on that day every 2 weeks

  • Day [X] of every month – Event repeats on a specific date each month (e.g., the 10th)

  • Every fourth [Day] – Event repeats on that day every 4 weeks

  • Day [X] of every 3 months – Event repeats quarterly on a specific date

  • Day [X] of every 6 months – Event repeats bi-annually on a specific date

  • Every [Month] [X] – Event repeats yearly on a picked date

  • Everyday – Event repeats every day of the week

  • Every workday – Event repeats Monday to Friday each week

  • Day [X] on every selected month – Event repeats on a specific date in selected months only

Workdays Only

Enable Only workdays recurrence to ensure new sessions are never created on weekends. If the calculated date falls on a Saturday or Sunday, Learn Amp automatically moves it to the next Monday.

Recur Only Once

The Recur only once option creates exactly one additional session and then stops. This is useful for:

  • One-time follow-up sessions

  • Events that only need to repeat a single time

  • Testing your recurrence configuration


How Recurring Sessions Work

When a recurring session is set up:

  1. Original session: Your first session with recurrence enabled

  2. Child sessions: Automatically generated based on your frequency settings

  3. Next open date: The date when the next session becomes visible

The Recurrence Cycle

  1. You create a session with recurrence enabled

  2. Learn Amp calculates the next occurrence date

  3. A new session is automatically created before the next date

  4. The new session inherits all settings from the original

  5. This process continues for each recurrence

Reopen Before Days

The Reopen before days setting controls when the next session in the series becomes visible and available for enrolment. This is what the "recur session (X days before)" setting means.

Example: If you have a monthly session on the 15th with "Reopen before" set to 7 days, the next session becomes available on the 8th of each month.

⚠️ Warning: If you set daily recurrence (1 day), the reopen before is automatically set to 0 days.


Managing a Recurring Series

Editing Future Sessions

When you edit a recurring session:

  • Changes only apply to that specific session

  • Future automatically-created sessions inherit from the original settings

  • To change the pattern, edit the original (parent) session

Stopping Recurrence

To stop future sessions from being created:

  1. Find the most recent session in the series

  2. Edit the session

  3. Toggle off Recurs

  4. Save your changes

Already-created sessions are not affected.

Archiving Recurring Sessions

When you archive a recurring session:

  • That specific session is cancelled

  • Enrolled learners are notified

  • Recurrence continues from the remaining active sessions

  • To stop all recurrence, disable recurs before archiving

End-of-Month Sessions

For sessions that should always occur on the last day of the month:

  1. Create your first session on the last day of a month (e.g., 31st January)

  2. Set recurrence to 1 month

  3. Learn Amp automatically adjusts for months with fewer days

Result: Sessions on 28th/29th February, 31st March, 30th April, etc.


FAQs

Can I edit all future sessions at once?
No, each session is independent once created. To change future sessions, edit the recurrence settings on the parent session before child sessions are generated.

What happens if I delete the original recurring session?
Child sessions that have already been created remain active. However, no new sessions will be generated.

Can I have multiple recurring sessions on the same Event?
Yes, each session can have its own recurrence settings. This allows for complex schedules like morning and afternoon versions of the same training.

How far in advance are recurring sessions created?
Sessions are created based on the "Reopen before days" setting. The session is generated when the previous session's date passes and the next open date arrives.

Can I convert an existing session to recurring?
Yes, edit any session and enable the recurs toggle. This works for sessions that haven't started yet.

How can I set up an event to reoccur on a certain day of the week each month?
You can set recurring sessions on the same day of the month OR the same day of the week, but not both simultaneously. For example:

  • "Day 8th of every month" – repeats on the 8th each month (won't adjust to fit the same weekday)

  • "Every fourth Tuesday" – repeats every 4 weeks on Tuesday (won't adjust for months with 5 weeks)

What does 'recur session (7 days before)' mean?
This is the number of days before the event date that the new session becomes visible to learners for enrolment.
